Circulation Privileges and Loan Limits
The Research Library is primarily a non-circulating library. Materials must be used at designated reading spaces; any materials not found in open stacks must be requested via the Research Library Catalog. Circulation privileges and loan limits are established according to patron status. When the limit is reached, the Library Catalog will block further loans until the borrower has returned materials.

Plaza Readers: Up to 50 items may be requested for use in the Plaza reading room. Materials may not be taken out of the library.

Stack Readers: Up to 100 items may be checked out and placed on designated reserve shelves on L2. Materials may not be taken out of the library.

Extended Readers: Up to 200 items may be checked out and placed on designated reserve shelves on L2 or in assigned carrels. Materials may not be taken out of the library.

Getty staff, in-residence Getty scholars and fellows, Getty interns: Up to 200 items may be checked out and kept in Getty Center offices and workstations. A limited number of books may be taken off campus (see Loan Periods).

Getty docents and Getty volunteers: Up to 100 items may be checked out and placed on designated reserve shelves on L2. Materials may not be taken out of the library.

Getty departments located outside the Getty Research Institute: Up to 500 items may be checked out to the department.

Loan Periods
All items may be renewed and are subject to recall.

Books:
  • Plaza Readers: 1 month for all books, periodicals, auction catalogs.
  • Stack Readers: 4 months.
  • Extended Readers: 1 year.
  • Getty staff, in-residence Getty scholars and fellows, Getty interns: 1 year. Up to 3 books at a time may be taken off-campus for 1 week. Materials must be taken to the Circulation desk to receive an exit pass.
  • Getty docents and Getty volunteers: 4 months.

Periodicals: 1 week.

Auction catalogs: 1 week.

Reference books do not circulate except by permission of the Reference staff, who will determine the loan terms.

Periodicals and newspapers in the periodicals reading room do not circulate beyond the reading room except for the purpose of photocopying.

Current books: A selection of current books is displayed for 2 weeks in the periodicals reading room and near the Interlibrary Loan desk. Current books may be checked out.

Scholars' books in the periodicals reading room: 2 weeks.

Art in Fiction and Los Angeles collections: 1 month.

Audio-visual materials: 1 month.

Microforms do not circulate beyond the multimedia area except by permission of the Reference staff, who will determine the loan terms.

Special collections materials (rare books and archival materials, photo albums, prints, drawings, and realia) must be consulted in the special collections reading room.

Photo Study materials in open stacks: Photos must be consulted on the L3 level and do not circulate beyond the immediate reading areas.

Storage materials circulate according to material type as listed above.

Reading room use only: Selected materials from closed stacks may be restricted to the Plaza reading room because of their physical condition.

GCI project shelves and Museum Education Resource Center materials: 2 weeks.

Requesting Materials and Self-Checkout
Note: Any materials not found in open stacks must be requested via the Research Library Catalog.

Open stack books, periodicals, auction catalogs:
  • Stack Readers, Extended Readers, Getty staff, in-residence Getty scholars and fellows, Getty interns, Getty docents, and Getty volunteers must retrieve books, periodicals, and auction catalogs from the open stacks themselves. These items must be checked out via self-checkout before being taken to reserve shelves, tables, carrels, offices, or workstations. Self-checkout stations and instructions are located at the public terminals. Circulation staff will periodically identify and remove items that have not been correctly checked out.
  • Getty staff located in the South Building, 2700 Colorado, and at the Villa may request both storage and open stack materials.
  • Plaza Readers must request open stack and storage materials not located in the Plaza reading room for use in the reading room according to the storage request schedule.

Items labeled "Storage" in the Research Library Catalog must be requested via the catalog.

Receiving items requested from storage:

Plaza Readers: Items will be delivered to the Plaza reading room one hour after each paging session. See schedule above.

Stack Readers, Extended Readers, Getty docents, and Getty volunteers: Items will be held at the Circulation desk for pick-up and then transferred to the L2 reserve shelves and carrels at the end of the week.

Getty staff, scholars, interns from Research Institute departments with designated drop-off points: Items will be held at the Circulation desk and will be delivered once daily, Monday-alternate Friday, after 3:00 p.m.

Getty staff, scholars, interns from Research Institute departments without designated drop-off points: Items will be held at the Circulation desk for pick-up.

Getty staff outside the Research Institute: Items will be delivered to designated drop-off points in the Museum and GCI Information Center once daily, Monday-alternate Friday, after 3:00 p.m.

Villa, South Building, and 2700 Colorado: Items will be delivered by facilities courier.

Requesting and viewing special collections items:

Stack Readers, Extended Readers, Getty staff, in-residence Getty scholars and fellows, and Getty interns must request items labeled "Special Collections" in the Research Library Catalog via the catalog.

Special collections materials are delivered to the special collections reading room for consultation during special collections reading room hours. For appointments and further access information contact Library Reference.

Returning Items:

Return checked-out items to the Circulation desk or to any designated book truck.

Recalled Materials
Items checked out are subject to recall for use by another patron. Borrowers are required to comply with the rules governing recalled materials.

  • Plaza Readers, Stack Readers, Extended Readers, Getty docents, and Getty volunteers: In a Reader's absence, recalled items will be removed from reserve shelves or carrels by Circulation staff and a notice will be left for the Reader. Readers may recall the item back from the current patron as needed.
  • Getty staff, in-residence Getty scholars and fellows, Getty interns: When a book is recalled for use by another patron, a recall notice is sent via e-mail to the present borrower. The borrower has up to six days to return the materials. After this time an overdue recall notice is sent to the borrower and his/her borrowing rights are suspended, both for Research Library materials and for Interlibrary Loan materials, until the overdue materials are returned or declared lost by the borrower.

Lost Materials
A recalled item is declared lost by Circulation 3 weeks after it becomes overdue. The borrower will be assessed a $50.00 fine, a $10.00 processing fee, and the replacement cost of the book. Borrowing privileges will be restored upon receipt of payment or return of the book.

Should the lost book be returned within 6 months of the date that it was declared lost, the $50.00 fine and the replacement price will be refunded. The $10.00 processing is non-refundable. Fines will be collected by the Circulation staff.

If the lost item is checked out to a Getty department instead of to an individual, the department head will be held responsible for these materials and fines for lost items will be assessed against the department's budget.

Only the head of Circulation has the authority to clear patrons' accounts and to waive fines that are applied in error or where there are mitigating circumstances. She may refer appeals to the chief librarian at her discretion.
