These categories document the creation and maintenance of each catalogue entry and record any information about the availability of the group/item, reproductions, restrictions, copyrights, etc. Internal documentation can be an aid not only to repositories but also to researchers. In general, users need to know how, when, and by whom catalogue information was recorded, what photographic documentation exists, and what restrictions may apply to access and reproduction.

All the categories in this section may be free-text notes, although some repositories may wish to supplement and structure the information for collection management purposes.

Category: Note

Definition:
Any of the following information may appear in NOTE:
  • Name(s) of cataloguer(s)
  • Name of cataloguing institution, if not the repository (as in photo archives)
  • Date of the entry's creation
  • State of completion
  • Problems with the entry
    Sources not used


Example:


Initial accession records, MINISIS Database by Howard Shubert and Sarah Dawbarn dated July 19, 1985; Myra Nan Rosenfeld, Research Report, August 1, 1991, Research Files, Department of Prints and Drawings.

Category: Sources

Definition:
A short citation of published or unpublished sources used to create the entry. Unproductive sources (those that do not have pertinent information) may also be cited. All published sources should also be recorded under Bibliographic Sources.


Discussion:
This category functions much like a footnote.


Examples:


The subject name source comes from the Richards Co. Turner, Roger, 1985, 110—112.

Category: Credit Line

Definition:
The standard caption or credit line required by the repository.

Category: Restrictions

Definition:
Any restrictions on access to and reproduction of a document imposed by the current repository, or any other limitations, including copyright restrictions.

Category: Reproductions

Definition:
A listing of any available reproductions, either through the repository or through commercial photographic archives such as Alinari. This category may include identifications such as negative or frame numbers. Excluded are citations of published reproductions (see Published Reproductions under Bibliographic References, one of the top level categories in Groups/Items).


Example:


All sheets in the group are available in black and white photographs, recto and verso.
