Payroll Assistant Manager, Finance & Accounting, The J. Paul Getty Trust
Requisition: 2972

Supervises staff of four while overseeing day to day operations of the payroll group. Reviews and approves payroll for accuracy and compliance with wage and hour laws. Reviews and approves additional payroll payments for scholars', grantees and interns. Ensures payroll records are updated. Oversees the distribution of paychecks. Maintains and updates tables within PeopleSoft to properly record payroll data. Coordinates weekly meetings with Human Resources and ITS department heads to discuss needs and issues surrounding payroll processing. Reviews preparation of bi-weekly tax payments. Prepares quarterly and annual tax reporting. Assists in transition and implementation of automated time and attendance system. Developsand maintains procedures manual for payroll processing. Serves as a contact resource for all Trust programs and departments regarding Payroll questions and concerns. Assists departments in interpreting Trust policy, following payroll procedures. 2-3 years supervisory experience, 5+ years preferred. Experience with an automated time and attendance system. Knowledge of PeopleSoft payroll desirable. Undergraduate degree in Accounting, Business, or Finance or an equivalent combination of education and experience preferred. Accounts Payable Assistant Manager, Finance & Accounting, The J. Paul Getty Trust

Supervises staff of four while overseeing daily A/P function. Reviews and approves daily A/P payments , ensuring compliance with Getty policy and generally accepted accounting principles and regulatory requirements. Directs the activities related to processing of invoices and ensures data quality. Oversees year end processing of 1099's. Processes and reports gain & loss, sales & use tax and other requirements for each month end close. Manages vendor inquiries. Develops and maintains procedures manual for A/P processing. Serves as a contact resource for Trust programs and department regarding A/P questions and concerns. Assists departments in interpreting of Trust policy, following A/P procedures. 2-3 years supervisory experience, 5+ years preferred. Knowledge of PeopleSoft Financials desirable. Knowledge of procurement to payment processes. Undergraduate degree in Accounting, Business, or Finance or an equivalent combination of education and experience preferred. Administrative Supervisor, Finance and Accounting, The J. Paul Getty Trust

Supervising a staff of five, the Administrative Supervisor coordinates and supervises the cash handling positions at the Getty Center and the Villa, ensuring timely cash deposits. Reviews schedules prepared by the cash handlers to record the cash deposits into PeopleSoft by the Accounting department. Coordinates with the Programs and the cash handlers to ensure cash coverage, i.e. ensuring the Bookstore and Visitor Services have enough change. Oversees the scanning of invoices and expense reports, communicating with the Accounts Payable department, Tax and Audit department and Programs. Will be involved in the implementation of the scanning of purchasing cards and various payroll documents. Coordinates the processing of Accounts Payable checks, employee reimbursement checks, and Payroll and Accounts Payable pospay communication with Bank of America. Will be involved in transitioning the processing of Payroll checks during the next fiscal year to the administrative group. Handles internal department mail and serves as back-up for mail pick-up and distribution for department. Updates finance forms for posting on the Getty intranet. Helps coordinating the year-end audit, including updating confirmation letters and gathering information needed by the auditors. Ensures that the various cash deposit, scanning and check printing and related functions are accurately completed each day. Requirements: Bachelors degree preferred, as well as 1 to 2 years of supervisory experience, 5+ years preferred. Excellent communication skills, attention to detail, and the ability to handle multiple projects and deadlines. Ability to use Adobe Acrobat Professional, Image Now and PeopleSoft. Sr. Accountant, Finance and Accounting, The J. Paul Getty Trust

Candidate must possess Bachelor's degree in accounting or a related field. The ideal candidate will have 5+ years experience in a traditional accounting environment (2 years public, 1 year private or equivalent), CPA preferred, experience with PeopleSoft software and have excellent Microsoft Excel skills. Key duties include, reconciling balance sheet accounts, preparing and presenting reports on financial performance, preparing annual audited financial statements, developing business policies and procedures, and providing timely response to inquiries from internal and external customers. Candidate must have excellent leadership/organizational skills and ability to prioritize and handle multiple tasks simultaneously, the ability to effectively interact with others, excellent oral and written communication skills, and extensive knowledge of business analysis. Reporting to the Controller, the Sr. Budget Analyst has responsibility for overseeing the annual budget process. This includes the development and maintenance of budget templates to be used consistently by the Trust departments and programs to develop their budget. These templates will also need to include the necessary reporting and statistical data for monitoring budget to actual results on a quarterly basis. The Sr. Budget Analyst will become familiar with the operations of the programs and act as a financial support to the programs. This position will also support the quarterly reforecast process, as well as be involved in the preparation of quarterly reports for executive management and the board of trustees. This position requires solid analytical, logic and reasoning skills to identify issues, evaluate alternatives and provide solutions, strong verbal and written communication skills and a demonstrated ability to solve complex issues and provide quality judgments and decision making. Accuracy and an attention to detail are also very critical, as well as an ability to meet deadlines and handle multiple projects. The qualified candidate will have 5-7 years of public accounting or industry experience, a Bachelors degree in Accounting, Business Administration, or related field.
